Do you prepare reports manually? ?E.g. every month you collect figures from different sources and compile them in a spreadsheet or document — that is a manual report.
Are your processes documented? ?E.g. is there a document that states: "On receipt of a request, log it, assign it to the responsible officer, respond within 5 days"?
?From the moment someone submits a request to the final response. E.g. a certificate is prepared within 5 working days.
?Any kind of complaint — verbal, written, or by email. E.g. "why is it taking so long?", "I never received a reply", etc.
Do you measure how things are going? ?E.g. do you track how many enquiries you have processed, average response time, or number of complaints? If you do not have such figures, choose "No".

Would the system work without you?

Assess whether your processes are resilient to change.

Could someone else take over within 2 days? ?E.g. if your current IT supplier stopped working — could a new person understand how everything works and carry on within 2 days?
Do you check that the system is accessible to everyone? ?Does anyone check whether the website or system works for people with disabilities — e.g. can it be used with a keyboard only, is the text large enough?
Do you have a plan if the system stops working? ?E.g. if the internet goes down or the server fails — do you know what to do? Are there backups, contacts, and instructions?
